About the client:

A global transportation technology company that manages a vast inventory of serialized transportation cards used across transit systems. The company leverages Microsoft Dynamics 365 Finance & Operations (F&O) as a backend system, integrated with several external platforms, to streamline inventory tracking, sales operations, and reporting.

Challenges:

The client faced several operational and performance-related issues:

  • Inefficient Tracking Dimensions: The company was using an incorrect tracking dimension setup, making it difficult to identify key details such as the sales representative handling each transaction or the origin of stock movements.
  • Performance Bottlenecks: The system was importing up to 30,000 transportation cards per day, which caused significant performance degradation—especially in API response times and batch job processing.
  • Inaccurate Inventory Structure: Existing inventory items with wrong tracking configurations created reporting inconsistencies and operational confusion.
  • Integration Complexity: Integration with external systems was slow and lacked automation, leading to user friction and increased manual effort.

Solutions

FlairsTech’s Microsoft Dynamics team delivered a tailored Tracking Dimension Solution to address the client’s challenges with precision:

Item Data Correction & Migration

  • Deactivated items with incorrect tracking dimensions.
  • Created new items with proper tracking settings and migrated existing stock.
  • Renamed and updated all historical transactions to preserve traceability.

Enhanced Performance & Batch Processing:

  • Refactored legacy batch jobs into multithreaded processes aligned with available batch servers.
  • Significantly improved API performance, ensuring seamless data integration.

Improved System Integration

  • Built efficient integration layers with external systems.
  • Automated manual steps to streamline operations and reduce human error.

Functional Additions

  • Implemented new features enabling active tracking of items, allowing the client to monitor who processed each transaction, enhancing accountability and operational insights.

Impact:

  • Improved inventory visibility through correct tracking dimensions, enabling identification of sales reps and responsible employees.
  • Cleaned and restructured item data, replacing incorrectly tracked items without disrupting operations.
  • Enhanced system performance by optimizing code and converting slow batch jobs into multithreaded processes, ensuring smooth handling of daily imports.
  • Faster API response times and more reliable integration with external systems.
  • Streamlined user workflows through automation, reducing manual steps and improving efficiency.
